Alternative Format
Textbook Guidelines
Students whose disabilities prevent them from accessing print materials such as textbooks and class handouts may benefit from getting those materials in alternative format. These formats include audio books, braille, and electronic (e-text) files. If the student has not done so, s/he must first complete a Request for Accommodations Form, attach their disability documentation, and make an appointment with a DR disability specialist.
Before you request a textbook in an alternate format, check the Recording for the Blind and Dyslexic (RFB&D) book catalog for your books. If your textbooks are available from RFB&D, you will be expected to use that source. Order the book(s) using your personal membership. If not yet a member, talk to your DR specialist about getting your RFB&D membership.
NOTE: You do not need to complete a request form if your book is available from RFB&D and ordered with your personal membership.
If your texts are not available from RFB&D, follow these steps:
1. Request alternative format materials immediately after early registration or as soon as possible each semester.
Note: Production of materials can take two weeks or more. Please allow sufficient lead time.
2. Contact each instructor to ask about textbooks, handouts, and other required reading materials for each course.
3. Submit a Request for Books in Alternative Format. Required information includes: course name and number, book title, author, edition, copyright date, price of book, where purchased, the date you purchased the book and the playback device you will use to access the text. Incomplete information on the request form can result in conversion of the wrong textbook and delay of delivery of files. You may submit the request either ONLINE or a printout of the request form to the DR OFFICE.
4. Purchase the textbook. Submit proof of purchase or receipt for the books and a copy of the reading syllabus to DR. According to copyright laws, textbook purchase is required before the text can be converted.
5. For Braille Users: Make arrangements to meet with the DR specialist prior to the start of each semester. Some materials must be requested two semesters in advance.
6. All CDs produced by DR from files from the publisher or from the Communication Center must be checked out and returned through the UMD Library. You will be notified via email when your materials are ready to be picked up.
7. Return all alternative format hardware, including CDs, to the library by the last day of finals. Failure to comply will result in a hold on your record.
8. All electronic files downloaded to your computers must be deleted. Materials may not be reproduced or shared. See the UMD Student Code of Conduct
9. Notify your DR specialist immediately of changes to class schedule or course syllabus
