Program Clearance Process

Ready to Graduate?

  1. First make sure you have had a program clearance check done through the Student Affairs office. This process should be done one semester before you plan to graduate. If you are an education student, then your program clearance check is done the semester before you student teach. Follow the program clearance process outlined below.
  2. The Commencement Handbook will be available online at a later date.
  3. Students who will complete all coursework in a summer or fall term are eligible to participate in the spring commencement ceremonies. Details are included in the commencement handbook.

CEHSP Student Affairs office is responsible for performing a program clearance check on all students who will graduate from CEHSP programs. This clearance check will be a review of all of your coursework to ensure that you have met the academic requirements necessary to graduate.

Non-Education Students should have this check done at 90+ credits. You will be notified by email when you have reached this milestone.

Program Clearance Process as part of the Student Teaching Application.

Because, education students will usually graduate the semester after they student teach, we combined our process to be part of the student teaching application. The process can only take place the semester before you student teach.

CEHSP Student Affairs will pull the student's APAS and perform a program clearance. The APAS Packet will include an APAS, a summary sheet (which you will discuss with your advisee) and students are responsible to pick up any other necessary forms (Permission form to teach outside the Duluth Area, Foreign Language Permission to student teach form, etc). We will give the student a credit check form that needs to be submitted to the Student Assistance Center, Campus Center 21.

What Do I Need to Do?

  1. You need to complete a student teaching application
  2. You need to pick up your APAS packet in the CEHSP Student Affairs office during assigned hours (you will be notified of day and times).
  3. You need to schedule an appointment with your faculty advisor to discuss check results.
  4. After your meeting, turn the signed Program Clearance Summary Packet and your APAS in with your student teaching application to the Field Experience office in the Education Department. Check deadlines for applying for student teaching.
    1. Unified Early Childhood Student Teaching Application
    2. Elementary Education Student Teaching Application
    3. STEP Student Teaching Application
  5. Foreign Language students need to have a form from the Foreign Language department signed - turn this form in with your student teaching application. Students with the majors: Tch Spanish, Tch French, Tch German, Tch Eled/Span, Tch Eled/German, Tch Eled/French are required to attach this form to the student teaching application. Pick up form in the Foreign Language Dept-457 Humanities.
  6. Return any purple "Exception to APAS" forms to the Student Affairs office.

Are you student teaching through Morris?

  1. Students who are student teaching through University of Minnesota Morris must complete a global student teaching application by March 1st, 2006. Applications are available online at: http://educatorsabroad.org/absolutenm/templates/GSTsubmitanapplication.aspx?articleid=78&zoneid=40
  2. If you are student teaching abroad, once you are accepted through Morris, you are required to contact Deb Good to pick up and complete forms for registration. It is mandatory that you are registered for student teaching before you leave the country.
  3. If you are student teaching in the United States, you are required to complete a Multi-Institutional Form. You can get the form at: http://www.d.umn.edu/registrar/multi.html. This form needs to be signed by Lisa Maniak or Pat Sundin in the CEHSP Student Affairs Office.

If you are a Music Education or Art Education student, Your packet will contain the following:

  1. Summary form which will show your cumulative and major GPA, courses in progress and education courses still needed.
  2. You need to pick up your APAS packet in the CEHSP Student Affairs office during assigned hours (you will be notified of day and times).
  3. You need to turn in the Credit Check Form into the Student Assistance Center in SCC 21.
  4. You also need to contact the SFA department for graduation information.
  5. Schedule a meeting with your faculty advisor to go over the summary form.
  6. After your meeting, turn the signed Program Clearance Summary form and your APAS in with your student teaching application to the Field Experience office in the Education Department (Montague 120).
