Policy: Managing Equipment for Departments
Departments should discuss plans with ITSS AV staff before purchasing new equipment to help ensure compatibility with current and future ITSS equipment and procedures. As a billable service, ITSS will handle the administrative tasks of scheduling reservations, tracking equipment, and maintaining equipment for departments if the following conditions can be met:
- ITSS has space available to store the equipment.
- The equipment is available for checkout and return only during normal hours of the ITSS AV Checkout Service.
- The owner department will be responsible for recovery of overdue equipment. ITSS will make an initial contact with the customer before turning the responsibility for recovery over to the owner department.
- ITSS is not responsible for lost, stolen or damaged equipment.

The owner department agrees to pay for:
- ITSS equipment checkout service fees.
- equipment purchase or lease costs.
- equipment maintenance.
- expendible supplies and replacement parts, such as batteries, bulbs, and computer disks
- insurance, if desired.

The owner department provides ITSS
with up-to-date:
- list of authorized users.
- guidelines for determining priority of reservations.
- policy regarding allowable checkout frequency and duration.
- policy regarding borrowers' responsibilities for security, repair and replacement.
- equipment operation documentation.

ITSS
will have the final decisions related to:
- accepting the equipment into the checkout service.
- scheduling equipment reservations.
- maintenance requirements and methods of repair.
- removing the equipment from service for reasons other than owner department request.
ITSS equipment checkout service fees.
- $100 per item per term (fall, spring, and summer).

Current AV hourly staff rate for
additional staff services, such as:
- ordering equipment, parts, and supplies.
- preventive maintenance and repairs.
- arranging for equipment repair by service providers.
- computer software installation.
- computer software rebuilds.
