Starting September 1, 2006, UMD will provide retired faculty and staff with an email account after they retire. This is designed to encourage retirees to stay in touch with UMD. The account will remain open as long as it is used. Neither the individual retiree nor their home department will be billed for this service, unless disk storage limits are exceeded, files must be reloaded, or modem limits are exceeded.
Services available to those with retiree accounts include:
After two years, accounts that have not been used in the previous six months will be closed. Thereafter we will check every six months and contact owners of accounts that have not been used during that six month period to ask if the account may be closed. Faculty emeriti accounts will not be closed without permission. Other faculty and staff accounts may be closed if reasonable attempts to contact the owner have been exhausted. Faculty (non-emeritus) or staff who wish to retain a web presence without accessing our systems regularly must inform ITSS through the Help Desk (218-726-8847 or firstname.lastname@example.org) that they wish their accounts to remain active.
There will be a limit of 200 megabytes on the total amount of disk storage that retirees will be allocated, including email, web, and other files. When a mailbox gets too large, it will be moved to a different location where it can still be accessed. ITSS will remove the oldest of these moved mailboxes once the account exceeds the disk storage limit of 200 megabytes. Because of this limit, retirees are encouraged to weed out old files and to unsubscribe from any unwanted mailing lists before leaving the campus.
ITSS will have a process for reloading files that might be deleted before retirees have a chance to review them or save them elsewhere. This process is time consuming for ITSS staff, so there will be an hourly charge for this service. Web space for retirees is intended to be used to highlight career accomplishments while at UMD. This might include course web sites or research materials created while a UMD employee. Web space is not to be used for personal information, such as family photos; to support work done for other employers or professional organizations; or to generate income after leaving UMD. Retirees are expected to comply with all University policies regulating use of technology. This includes, but is not limited to, Policy on the Appropriate Use of Information Technology. In particular, your retiree account is not to be used for business purposes. Please purchase a commercial account if you need an account for business purposes.
