Creating Groups:

Create groups that consist of a group of people with whom you meet regularly for convenience and to save time. You can also include conference rooms or pieces of equipment as part of the group. (Rooms and/or equipment will need to be initiated under Resources by the Calendar Administrator. Email molson14@d.umn.edu your list of resources to set up on Corporate Time Calendar.)

1. Select Directory / Manage Groups

2. From Manage Groups, select "New" and enter the name of your group.

 

3. Select type of group, either Private or Members Only.

"Private" groups can only be viewed by the person who created that group.

"Members Only" can only be viewed by the person who created that group and the members of that group.

4. Name: After entering a member name, select the button to add it. After all names are added, select "OK."

If you don't know how a person is listed in Calendar, select , then click on Search. For best results with this Search Option enter a few letters of the persons last name or the entire last name if you know the correct spelling. A Directory of registered Calendar People, Resources, or Groups will appear. Highlight those you wish to add to your group and then select "Add All". Click "OK."


Scheduling a Group Meeting:

Select the New Meeting Icon from the toolbar. A display box will indicate that an agenda is opening for you, unless you have logged in as a designee. Click on "OK."

1. Enter the title of the meeting, location, date, time and duration.

2. Enter the name of the Group or if you have several groups select the group icon and select the group you wish to schedule for a meetings.

2. The names of the members will appear.

3. Click on or and proceed with scheduling your meeting.

 

Viewing Individual or Group Agenda's

You may also wish to view one or more individual agendas or an entire group's agenda. Go to File > Agenda > Open Group View.

Enter the names or group names and select "OK."

You now see the combined agendas for the entire group, for the specific date you would like to schedule. The combined agenda is blackened out (red) for those times that people already are scheduled for other meetings.

As shown, 8:00 a.m.-12:00 p.m. is not available as AM and BR have various meetings.
The time 1:30 p.m. until 2:30 p.m. is not available on BR's schedule. Other times would be available for all.
