Frequently Asked Questions:

  • What are the lodging options on campus?
    • Summer housing is available in the residence halls and apartments.  Availability of apartments is very limited during the summer.  
  • Are the residence halls and apartments air conditioned?
    • No; guests are welcome to bring a fan.
  • What is included when staying in a residence hall?
    • Bed linens include sheets, pillow, blanket, towel, washcloth (one set per person); mini fridge
  • What is included when staying in an apartment?
    • Bed linens include sheets, pillow, blanket, towel, washcloth (one set per person)
    • Guests should provide own toiletries, cookware; cleaning supplies (optional)
  • Are there bathrooms in the residence hall rooms or apartments?
    • Bathrooms are shared in the residence hall (one per wing; gender-specific)
    • Bathroom is shared among those staying in an apartment
  • Are there laundry facilities in the residence halls and apartments?
    • Yes; please provide own laundry detergent and basket
  • When is check-in and check-out?
    • Between 8 a.m. - 10 p.m.; check-in or check-out outside of those hours incur an additional fee.
  • Can guests make their own housing arrangements?
    • No; all housing for summer camps & conference is done as a group billing.  
    • For housing for weddings, please contact Kirby Student Center directly.
  • Are there any dates that are not available for summer housing?
    • Prior to May 14, 2018 and after August 5, 2018.  We are also closed on Memorial Day and Fourth of July.
  • Does UMD Housing & Residence Life accept walk-in lodging reservations?
    • No; all housing arrangements for a group must be made in advance and guaranteed number of guests and rooms received two weeks prior to arrival.
  • Do you provide housing for wedding parties that hold their event on campus?
    • Yes.  Please visit our wedding webpage.

  • Can we bring in our own food for meals for our guests?
    • UMD’s Food Policy prohibits guests from bringing in outside beverages or food.  Some exceptions do apply as noted in the Food Policy.
  • What dining options are available?
    • UMD dining options include Superior Dining Center, Plaza Food Court, Northern Shores Coffee Shop, Center Court Restaurant and UMD Catering. Availability of each varies during the summer. Please inquire with Kirby Student Center when planning your event.  
    • Superior Dining Center opens when there is a guarantee of 90 guests (campus-wide); Plaza Food Court is open weekdays for breakfast and lunch.
    • Superior Dining Center offers an all-you-can-eat option to include options for those with food allergies or special dietary requests.  Plaza Food Court also offers options for those with special dietary requests.

  • What documentation is required to book an overnight camp or conference?
    • Non-University groups:
      • Complete Summer Conference Inquiry online
      • Sign and submit Deposit Reservation Form
      • Sign and submit the Summer Conference Agreement and certificate of liability insurance
      • If your group includes youth:
        • Submit Youth Guidelines form
        • Complete Safety for Minors protocol (provide documentation that chaperones have been trained and have had background checks)
        • If your group arranges to utilize our Recreational Sports Outdoor Program amenities, signed waivers are required.
        • Complete and submit room roster
    • University groups:
      • Complete Summer Conference Inquiry online
      • Sign and submit Deposit Reservation Form
      • Sign and submit the Summer Conference Event Synopsis
      • If your group includes youth:
        • Submit Youth Guidelines form
        • Complete Safety for Minors protocol (provide documentation that chaperones have been trained and have had background checks)
        • If your group arranges to utilize our Recreational Sports Outdoor Program amenities, signed waivers are required.
        • Complete and submit room roster
  • Does Kirby Student Center plan events for groups?
    • Kirby Student Center staff is your point of contact for making the arrangements for your stay.  Staff may suggest activities for your group to consider however they do not create the event plan for your stay.
  • Should I contact various campus departments that I intend to work with on my own?  
    • No, we prefer that you go through Kirby Student Center to make your arrangements. If you are considering activities off campus, please contact those businesses directly.\
  • What types of meeting facilities are available for rent?
    • Kirby Student Center has a variety of space available for rent for small groups of 4 to groups of 320.  Please visit our Meeting & Event Services page for a directory of spaces and rental prices.
    • UMD Housing & Residence Life also has three conference rooms available for rent and can accommodate groups of up to 108 guests.

  • Where do we park?
    • Guests staying overnight in residence halls or apartments may park overnight in the Green Lots at no charge.  The campus parking map is here.  Daytime parking is available in the Maroon Lots at no charge during the summer.

 

  • What is the Safety for Minors policy?
    • All groups that bring youth to campus for an overnight camp or conference must comply with the Safety for Minors guidelines which includes verification of training and background checks for chaperones as well as maintaining chaperone-to-youth ratios.  
    • University departments must register their group here.
  • How does billing work?
    • A $200 non-refundable deposit is due upon booking to reserve your dates. Non-University groups will be billed for this; University groups will have the deposit applied to your EFS account. This fee is applied toward your final bill.
    • We do not bill individuals for meals and housing; all is included in a group bill paid by the organization offering the event.
    • Guest will provide a guarantee number of guests two weeks prior to arrival for both housing and dining.  
      • For housing, the final count of rooms provided at the 2-week guarantee can be +/- 5% of the guaranteed number without incurring penalties.  The guarantee establishes the minimum amount due.  Room usage exceeding the guaranteed number by +/- 5% will incur an additional 20% rate increase for the number of rooms greater than the guaranteed number for the group.
      • For dining, the guaranteed number establishes the minimum amount due.  
  • After the event, Guest will be invoiced for the remaining balance to include all services utilized during your stay (housing, dining, recreation, meeting rooms, etc.).  If Guest is a University department, the fees from each service area will be billed to your EFS account separately. For non-University groups, the final bill includes all services.Non-University groups may pay online or by check once invoice is received.
