Please note: To use these request forms, you may be asked to login using your internet ID and password.

The UMD Interlibrary Loan (ILL) Unit retrieves for UMD faculty, staff, and students published materials that are not owned by our Library. Our ILL unit also provides loans and photocopies for other libraries throughout the world.

One way we retrieve materials is via the MINITEX Library Information Network (MINITEX). MINITEX is a publicly supported network of academic, public, state, government, and special libraries in Minnesota, North Dakota, and South Dakota working cooperatively to improve library service for their users. General ILL Information

Who can use the service?

Undergraduate Students

Currently enrolled undergraduate students from all colleges and schools at the University of Minnesota Duluth may use interlibrary loan services to access collections within the Minitex Network. Undergraduates who are not registered but who are completing UMD course work, in upper division research courses, or UROP projects need to e-mail ILL at umdill@d.umn.edu to make special arrangements.

Graduate Students

Graduate students from all colleges and schools in the University of Minnesota system may use UMD's Interlibrary Loan Services. Graduate students who are not currently registered but who are completing their thesis or UMD course work need to e-mail ILL at umdill@d.umn.edu to make special arrangements. Graduate students from the U of M Twin Cities campus are limited to the Minitex Network.

Faculty

Faculty from all colleges and schools in the University of Minnesota system may use UMD's Interlibrary Loan Services. Faculty Emeriti and visiting faculty may also our services.

Staff

All staff employed at the University of Minnesota Duluth may use UMD's Interlibrary Loan Services.

Not Eligible

Patrons with UMD Library Courtesy Cards (high school, area faculty, community residents, summer residents) and all others are NOT eligible for UMD's Interlibrary Loan Services. Please contact your local library about their services.

What materials can I request?

ILL is for material not owned by the UMD Library. Please check the Library Catalog and the E-Journal Locator for availability of materials in our collection. You may also consult Reference Desk staff for help searching the catalog. The Reference Desk is located on the 2nd floor of the library and can be contacted at 726-8100. You may also visit the Ask a Librarian website at /lib/askus/index.htm.

Limitations:
Ordinarily, we will not request the following types of materials:

  • Rare books, manuscript materials, unpublished materials
  • Pre 1800 imprint dates
  • Reserve or reference materials
  • Non-standard formats (maps, posters, kits)
  • Materials owned by the UMD Library, unless declared missing, lost, at the bindery, or MLAC
  • Textbooks for UMD courses
  • Single issues of volumes of journals
  • Dissertations from UMI

Where can I get help with my citation?

To verify your citation, visit the Reference Desk on the 2nd floor of the Library or call 726-8100. You may also visit the Ask a Librarian website at /lib/askus/index.htm.

How do I submit a request for materials?

You may complete our online forms to request a book or media item or request an article or book chapter. Please make sure to check our Library Catalog and/or E-Journal Locator before submitting a request. For article/chapter requests you must read the copyright statement. Please complete a separate request for each item. A copy of the request will be e-mailed to you.

What is Find It?

A new linking service called "Find It!" is available for selected electronic resources. The "Find It!" button allows searchers to connect directly from an index to the full content of electronic journals. Initially, the linking service will be activated for PsycInfo and for ERIC, and new databases are being added regularly.   If UMD does not own the journal, you will be directed to an Interlibrary Loan Request Form.

How much does it cost?

In most cases, interlibrary loans are provided at no cost to you. The Library absorbs the costs of providing material through Interlibrary Loan. We will pay up to $30 per item. In some unique cases items may cost more. In the situation where the cost is more than $30, you will have the option to either cancel the request or pay the additional costs. You will be informed of any unique situations before the request is processed.

How will I be notified when my materials arrive?

Requests filled by photocopy will be mailed to the address you supply. You may also be notified by e-mail to pick up articles electronically via MEDD. For loans, you will be notified via mail or e-mail to pick up your materials at the UMD Library. For faculty and grad students with an on-campus address, your loans will be mailed via inter-campus mail.

When will my materials arrive?

The ILL unit cannot guarantee specific turnaround time. Most of our requested material arrives within approximately ten working days. Some material may take longer to arrive, due to factors outside the control of the ILL unit. Requests that are incomplete or inaccurate may take longer to fill. Please request material in ample time for your deadline. Also, please supply a cancel date if you have a firm deadline. The more time you give us before the cancel date, the more libraries we can contact to try to fill your request.

How do I request rush services?

If you are working against a deadline that necessitates faster, more immediate delivery, call 726-6628 or e-mail umdill@d.umn.edu. Examples of rush service situations include meeting publisher and grant proposal deadlines. Judicious use of the rush service will result in its continued availability.

Can I check the status of my request?

If you would like to check the status of your request, please fill out a Status Request Form or call 726-6628. Please remember that most requests take approximately ten working days to fill, but we will always try to provide you with more information upon request.

What if the UMD Library owns what I requested?

If the item you have requested is available at the UMD Library, you will be notified by e-mail or mail. You may then retrieve the item yourself. For assistance on retrieving an item, please visit the Reference Desk on the 2nd floor or the Periodicals Help Desk on the 3rd floor of the Library. You may also visit the Ask a Librarian website at /lib/askus/index.htm.

Items showing lost, missing, bindery, NRRI, or MLAC locations in the Library Catalog may be requested through ILL.

What if the item is IN STORAGE: MN Lib Access Ctr (MLAC)?

To request an item that is at MLAC, please fill a Book/Media Form and type MLAC in the comments field.

MLAC is a statewide facility for long-term storage of important but lesser-used items. Books or journals in MLAC not available from a patrons' own library system can be requested. Patrons requesting items that are available from their library system will be referred to that copy. For more information on MLAC, please visit http://www.minitex.umn.edu/mlac/

How long can I keep the materials?

Photocopies of journal articles and book chapters are yours to keep. Loans of books, theses, audiovisual items, media items, etc are due by the date indicated on the book wrapper that is attached to the front of the material. Loan periods are set by the lending library. Books that are not returned or renewed by the due date will be assessed an overdue fine. Also, unreturned ILL items will affect your library borrowing privileges. To clear up overdue problems call 726-8585 or e-mail umdill@d.umn.edu.

Can materials be renewed?

Renewals must be requested a few days prior to the due date. If you need the material for a longer time, please fill out the Renewal Request Form. Renewals are granted by the library that loaned the item. The length of the renewal is determined by the lending library. If the material cannot be renewed, we will contact you and you will need to return the material. A new request to borrow the material from another library can be submitted. What if I damage or lose the material?

If you damage or lose material that has been borrowed through ILL, please call 726-8585 or e-mail umdill@d.umn.edu right away. We will contact the lending library to determine replacement or repair fees and then pass the fees along to you. To avoid overdue fines, please notify ILL immediately if the material is lost or stolen.

Interlibrary Loan materials are subject to all applicable UMD Library Circulation policies. Overdue, unreturned, lost or damaged ILL items will affect your library borrowing privileges.

Can I place an item on Course Reserve that I obtain through ILL?

You may place on electronic reserve selected chapters from a book or articles from a journal you received through ILL but not the entire volume or book. Interlibrary loan materials are lent with the understanding that they will be used by one person for a limited time.

What is MINITEX?

The MINITEX Library Information Network (MINITEX) is a publicly supported network of academic, public, state government, and special libraries working cooperatively to improve library service for their users.

The MINITEX program is funded by the Minnesota Legislature. Programs for Minnesota public libraries are funded through a contract with the Minnesota Office of Library Development and Services. Libraries in North Dakota and South Dakota participate in MINITEX programs through contracts between MHESO and the North and South Dakota State Libraries. MINITEX programs are coordinated by the MINITEX staff located at the University of Minnesota-Twin Cities Libraries, which fills the majority of requests sent to the MINITEX Office.

What is MEDD?

MINITEX is providing direct delivery of requested articles to patrons of participating libraries via MEDD (MINITEX Electronic Document Delivery). A patron who has requested electronic delivery receives an e-mail message that provides information needed to retrieve the article from a MINITEX server.

MEDD (MINITEX Electronic Document Delivery) is a custom-built, web-based document delivery system. It scans material and posts it on a password-controlled web page for the patron to retrieve. It then sends an e-mail message to the patron to let them know their material is ready for download. MEDD also has built-in image processing capabilities to allow MINITEX staff to clean up the scanned image, resulting in smaller download file sizes. Security and copyright controls have been built into the software.

Articles can be retrieved from any web browser that has Adobe Acrobat (4.0 version or newer) installed. Articles can be viewed up to five times or for 7 days after e-mail notification (whichever comes first), and the patron can decide to read, print, and/or download the article.
