SALARY INCREASE REQUEST PROCEDURES

Note: Consistent with University-wide policy, the chancellor is the final authority on these matters. At UMD, Chancellor Martin has designated Judith Karon, Director, UMD HR as the administrator of this policy. Please note, departments may request these changes, but no commitments are to be made or final decisions granted without the final written approval of UMD HR.

Nothing in the 2009-2010 pay plans is meant to change that in any way.

Reminder: Due to our 2009-10 financial situation, annual pay increases, whether across-the-board or merit based, will not be awarded this year.

Prior to completing the “Pay Increase/Augmentation Request Form,” responsible administrators/supervisors should consult with UMD Human Resources regarding a documented need for an in-range salary adjustment. This contact should be made regardless of which type and criteria of an in-range adjustment are being considered.
Documentation to accompany the request should include the following information in writing:

  • Names, classifications (job codes), length of service in the unit and salaries of all affected employees. Affected employees include all employees in the same or similar classification with similar responsibilities within the department or, if applicable, within a larger unit.
  • Documentation of the completed analysis and a rational for the recommendation.
  • Availability of recurring funding for the proposed salary adjustments.

Steps to Request a Pay Increase:

1. Department submits request via “Pay Increase/Augmentation Request Form,” found online at http://www.d.umn.edu/umdhr/Forms/pay.htm .

2. The request will be reviewed by Mary Cameron and/or Judith Karon.

3. Within 3 days of receipt, the request will be approved or denied.

4. If denied, a notification will be sent via email to the requester and the employee’s supervisor indicating the reason for denial.

5. If approved, the department prepares necessary paperwork, and submits to the Human Resources Department for processing.
