File Storage and Sharing

This section provides details on Novell file storage and sharing options, including:

File Storage - Your Personal Folder

Users can store files in their personal folder on the Novell server. Personal folder are named as follows:

h:\<dept>\<username>

Files stored in a personal directory are accessible only by the account owner. You can also access these files from off-campus (home) computers (see Novell Access from Off-campus for details).

Windows

To create a shortcut or alias to your personal folder on the server:

  1. Double-click the My Computer icon.
  2. Double-click the Users on 'Itss_office_cluster_users_server' H: drive from the list.
  3. Double-click your department folder (for ex: ITSS)
  4. RIGHT-click on your personal folder (for ex: jdoe), then select "Create Shortcut" from the pull-down menu that's displayed. You'll get a message about having to create the shortcut on the desktop because you don't have access privileges to create one on the server; click OK.

Macintosh

To create a shortcut or alias to your personal folder on the server:

  1. Double-click on the FILES icon on your Desktop to open its window.
  2. Double-click (or expand by clicking the triangle next to) your department folder.
  3. Click on your personal folder ("username") to select it.
  4. Go to the File menu and choose Make Alias.
  5. You'll get a message about having to create an alias on the desktop because you don't have access privileges to create one on that folder on the server. Click OK.
    You'll now have a shortcut alias to your personal folder on your desktop. To have this at the top of your Apple menu, put a space in front of its name (so it will sort to the top of the menu alphabetically) and move it into the Apple Menu Items folder of your System folder.

File Sharing - Your Department's COMMON Folder

Each department has a shared (or common) folder on the server. Shared department folders are genearally named as follows:

h:\<dept>\<common>

The shared "Common" folder can be accessed by all users in a department who have a full-service Novell account.

In some cases, customers may wish to have a special folder that is shared between a smaller subset of people. These can be set up by request by contacting the ITSS TechCenter Help Desk at x8847.

Windows

To save or access files in your department's shared (Common) directory:

  1. Double-click the My Computer icon.
  2. Double-click the Users on 'Itss_office_cluster_users_server' H: drive from the list.
  3. Double-click your department folder (for ex: ITSS).
  4. Double-click the Common folder. Remember, files in your department's Common folder can be accessed by any Novell account user in your department, so care should be taken with confidential or sensitive information.

Macintosh

To save or access files in your department's shared (Common) directory:

  1. Double-click on the FILES icon on your Desktop to open its window.
  2. Double-click (or expand by clicking the triangle next to) your department folder.
  3. Click on the COMMON folder.

File Sharing - The All-Campus Share Folder

Another shared folder, called All-Campus Share Area, is set up on the office server. This folder allows users to share files with people in other departments. All files stored in this area are accessible by anyone with a full-service Novell account.

Windows

To save or access files in the All-Campus Share Area:

  1. Double-click the My Computer icon.
  2. Double-click the Users on UMD-IS3 H: drive from the list.
  3. Double-click the All-Campus Share Area .
  4. Create a new folder for the files you wish to share. Remember, files in the All-Campus Shared Area can be accessed by any Novell account user so care should be taken with confidential or sensitive information.

Macintosh

To save or access files in the All-Campus Share Area:

  1. Double-click on the FILES icon on your Desktop to open its window.
  2. Double-click (or expand by clicking the triangle next to) the All Campus Share Area.

Data Backup and Restore

All data on the office server is backed up nightly to tape and individual files can be restored if needed. Users who store their personal files on the Novell server receive the backup service free of charge, although there is a charge for restoring files if needed. Backup tapes are kept for a period of one year.

Mapped Drives (Windows Computers)

To access services on the Novell server, a link must be created between a Windows computer and the server. These links are called "mapped drives", and are automatically created when you log in to the Novell server. Most full-service accounts have the following mapped drives:

Mapped drive Use
G: \\itss-office-cluster_apps_server\apps Application software: install or run software located on this drive
H: \\itss-office-cluster_users_server\users Personal user files: save and access files to this drive just as you do to the C: drive on your computer

Manually mapping a Novell drive

On some computers, you may need to manually map a Novell drive.

To manually map a Novell drive in Windows XP:

  1. RIGHT click on the My Network Places icon.
  2. Select Map Novell Network Drive from the pull-down menu.

  3. In the dialog box:
    • Choose the drive letter to map, then type in one of the following for the network path to the resource you need:
      Drive letter Network path Provides access to:
      G: \\itss-office-cluster_apps_server\apps Windows application software
      H: \\itss-office-cluster_users_server\users Shared deparment files and user's personal files
    • Check the box Reconnect at logon.
    • Click OK.
